Summary of Client and Challenge They Faced

A global investment firm was struggling to manage the monthly set of documents they sent to qualified investors. Every month, the investor materials had to reflect the latest performance: the presentation, the white paper and the firm overview, each carrying the same performance table, growth rates, return since inception and assets under management.

Those three documents had grown into fourteen. Different investor programs, a partner distributor, international readers who print on A4 paper, and investors who follow specific NAV cycles each needed their own version. Every month, the same numbers had to be updated by hand in every one of them.

The work was slow and easy to get wrong. A single performance table held more than 200 figures, and one mistyped number in one version could put conflicting information in front of investors. The documents lived in Microsoft 365, where the firm had no practical way to script updates across them.

To add another layer of complexity, the disclaimers and footnotes were inconsistent at times. In a heavily regulated environment like investment, ensuring compliance with international and local laws was a requirement, not a ‘nice-to-have’.

Our Approach to the Solution

Upward Arrow audited the entire document set to devise a streamlined workflow. After evaluating different platforms and solutions, an automated document workflow was created in Google Workspace and built around a single source of truth.

One spreadsheet, every number. All performance data now lives in one Google Sheet: the monthly performance table, comparative metrics, and growth in assets under management. Each figure is entered in only one place, substantially reducing input error.

Documents that update themselves. The presentations, white papers and overviews were converted to Google Slides, with each table tagged so the automation knows exactly where its data belongs. Fewer than 400 lines of Apps Script create a workflow that starts by updating the numbers in all fourteen documents with formatting intact, including fonts, bold figures, colors and alignment, so every version looks right without touch-ups.

Filed, sorted and ready to send. The same script creates a PDF of every document, saves an editable copy and files both in a dated folder for the month. Several versions carry the same name even though they go to different audiences, so each one lands in its own clearly labeled folder. The team always knows which file belongs to which investors.

Built for the office, not the developer. The team runs everything from a simple control panel in the spreadsheet: tick a box to sync, export or do both. A safety lock prevents overlapping runs, status messages show progress, and a log records every update. Upward Arrow trained the firm’s staff to run the monthly cycle themselves.

Compliance built-in. Every document received consistent footnotes and disclaimers. The script only touches the data, so approved wording stays as approved. Every document carries a date stamp, the right version reaches the right investors, and a sync log and monthly archive record what each audience received.

Client Results and Benefits

What was once a manual, error-prone process now runs through an automated workflow in a few clicks. The firm saves about four hours every month, which it can then use for more client-facing activities.

  • Fourteen tailored documents, each written for a specific audience of qualified investors, all update from the same central workflow and source of truth.
  • Numbers are entered once instead of retyped across every version, so investors see the same figures in every document they receive.
  • PDFs and editable copies are created and sorted by audience automatically each month, ready for the firm’s data rooms and investor portal.
  • The firm’s own staff can run the update whenever new figures arrive, without waiting on anyone.

Adding a new audience is now a matter of copying a template and adding a few lines to the configuration, rather than taking on another document to maintain by hand.
